Beacon Specimen Collection Services (“Beacon,” “we,” “us,” or “our”) values clear communication and professional scheduling. This Refund & Cancellation Policy explains how cancellations, rescheduling, no-shows, and refunds are handled for services requested through beaconspecimen.com or directly through our business.
1. Appointment Requests and Confirmation
Submitting a request through our website does not guarantee an appointment. Services are subject to review, approval, availability, service area, and any required documentation.
An appointment is considered confirmed only after Beacon has accepted the request and provided confirmation.
2. Cancellations by Client
Clients may request to cancel an appointment by contacting Beacon as soon as possible.
If a cancellation request is received with reasonable advance notice, Beacon may allow the appointment to be canceled without charge, unless otherwise stated in a separate agreement, invoice, booking page, or account terms.
If a cancellation occurs too close to the scheduled appointment time, a cancellation fee may apply.
3. Rescheduling by Client
Clients may request to reschedule an appointment based on availability.
We will make reasonable efforts to accommodate rescheduling requests, but new appointment times are not guaranteed and may depend on service type, location, staffing, and scheduling availability.
4. Same-Day, Rush, or After-Hours Appointments
Same-day, rush, after-hours, weekend, or otherwise priority appointments may involve reserved time, travel, or limited availability.
For these appointments, cancellation fees or reduced refunds may apply if the appointment is canceled after confirmation.
5. No-Shows and Incomplete Appointments
If the client, donor, or requesting party is unavailable at the scheduled location and time, does not appear, refuses service, or if the appointment cannot be completed due to missing information, missing paperwork, lack of access, or other avoidable circumstances, Beacon may treat the appointment as a no-show or incomplete appointment.
In those situations, Beacon may charge:

the full appointment fee

a partial service fee
-
a travel fee
-
or another reasonable administrative charge
6. Refunds
Refunds, if approved, are issued at Beacon’s discretion and may depend on:

whether the appointment was confirmed

whether Beacon reserved time or travel

whether the service was canceled in advance

whether any part of the service had already been performed
-
whether third-party costs had already been incurred
If a refund is approved, it may be issued to the original payment method or handled through another agreed method.
7. Non-Refundable Fees
The following may be non-refundable once incurred or scheduled:

rush or same-day scheduling fees

after-hours or weekend fees
-
travel charges
-
administrative processing charges
-
third-party booking or payment processing fees, where applicable
8. Cancellations by Beacon
Beacon reserves the right to cancel, refuse, or reschedule appointments due to:

staffing limitations

unsafe conditions
-
service area limitations
-
incomplete or inaccurate booking information
-
lack of required documentation
-
weather, travel, or operational issues
-
other circumstances beyond our reasonable control
If Beacon cancels an appointment before service begins, any prepaid amount may be refunded or credited, depending on the circumstances.
9. Employer and Account Clients
Clients operating under a separate service agreement, employer account, invoice arrangement, or custom pricing agreement may be subject to different cancellation, refund, and rescheduling terms.
If separate terms apply, those terms will control.
